Collections

Keep each plant's procedures with that plant

A collection is global, per site or personal. Put the corporate standard in the global collection once, and what’s different at Plant 2 in Plant 2’s collection. Nobody works from the wrong version, and nobody keeps three copies in sync.

  • Global collections for standards, policies, and specifications
  • Site collections for the procedures that differ from plant to plant
  • Personal collections for your own working notes

Upload

Upload whatever the floor already has

Drag in a PDF, a Word file, a spreadsheet or a scanned manual, one at a time. Add a title and tags if you want, or keep what the document already carries.

  • PDF, Word, Excel, PowerPoint, plain text, Markdown, and CSV
  • Up to 50 MB per document
  • Searchable within minutes of upload

Search results

Search by the exact word or by what it means

Put a phrase in quotes for exact matches. Type it plainly and semantic search finds the idea, so a search for line stoppage also brings back the pages that say unplanned downtime. Filter by file type, tag or date.

  • Results show a relevance score and the matching snippet
  • Preview the document or open its full details from the result
  • Download the original in one click
  • Sources cited 6
  • Passage opened, DOC-4821 p.12

Ask

Ask a question, get the answer and its page

Type a question the way you’d say it and get an answer built only from the documents in that collection. Every claim cites the document and page it came from, and one click opens the passage.

  • Suggested questions, generated from what is in the collection
  • Export a conversation to Markdown or PDF with every citation and timestamp
  • No answer without a source in the collection
  • Not answerable, no match
  • Searched uploaded documents only

Refusal

Trust answers that come only from your documents

If the answer isn’t in your documents, it says so instead of guessing. Nothing comes from the web, and there are no live readings from the floor, since that’s the Historian’s job. A long conversation also loses its earlier context, so start a new one when it drifts.

  • Answers come only from the documents in the collection
  • For live data, use the Historian or the Q&A Engine
  • Long threads lose earlier context, start a new one

Usage analytics

See what people ask and what they couldn't find

Every question, answer rating and citation click is recorded. The report shows your busiest collections, the questions that got a thumbs down, and the questions nobody had a document for. That last list is where the gaps in your documentation are.

  • Query volume, active users, and the most-used collections
  • Thumbs ratings, citation click rate, and follow-up rate
  • Token, embedding, and storage spend
  • Reindex, equipment manuals41 of 58

Manage collections

Keep the library current without losing its history

Re-index a collection on demand, edit titles and tags in place, and delete what’s obsolete. When a document changes, re-upload it rather than editing it inside the library. Every action has a keyboard shortcut.

  • C for a new collection, U to upload, S to search, / to ask
  • Cmd or Ctrl+K shows every shortcut
  • Reindex, edit metadata, or delete a document or a whole collection
